Recipients of personal data

User profiles may be created on the basis of the recorded data. Furthermore, the data may be used to display interest-based advertising, provided that the other legal requirements (in particular consent) are met. For this purpose, the chatbots may be linked to analysis and advertising tools.

The recorded data may also be used to improve our chatbots and their response behaviour (machine learning).

The data you enter in the course of the communication remains with us or the chatbot operator until you request us to delete it, revoke your consent to its storage or the purpose for storing the data no longer applies (e.g. after your enquiry has been processed).

Mandatory statutory provisions – in particular retention periods – remain unaffected.

5. Analysis tools and advertising

Umami (self-hosted)

This website uses Umami for the statistical analysis of visitor access. Umami is open-source analysis software which we operate under our own responsibility on servers in Europe. The analysis script is delivered via our own domain. Your data is not transferred to an external analysis service provider.

Umami does not set any cookies. The data recorded comprises the page accessed, the previously visited page (referrer), browser type and browser version, operating system, device type, screen resolution, language setting and the country of origin. The data is analysed in anonymised form. No personal user profiles are created, and recognition across several websites does not take place.

This data is recorded on the basis of Art. 6(1)(f) GDPR. The website operator has a legitimate interest in a data-minimising analysis of user behaviour in order to improve its web offering. If appropriate consent has been obtained, the processing is carried out exclusively on the basis of Art. 6(1)(a) GDPR and Section 25(1) TDDDG. This consent may be revoked at any time.

Meta Pixel (formerly Facebook Pixel)

This website uses the visitor action pixel of Meta for conversion measurement. The provider of this service is Meta Platforms Ireland Limited, Merrion Road Dublin 4, Dublin, D04 X2K5, Ireland. YouTube with expanded data protection integration

This website integrates videos from the YouTube website. The operator of the website is Google Ireland Limited (“Google”), Gordon House, Barrow Street, Dublin 4, Ireland.

When you visit one of these websites on which YouTube is integrated, a connection to the YouTube servers is established. This tells the YouTube server which of our pages you have visited. If you are logged into your YouTube account, you enable YouTube to assign your surfing behavior directly to your personal profile. You can prevent this by logging out of your YouTube account.

We use YouTube in the expanded data protection mode. According to YouTube, videos played in the expanded data protection mode are not used to personalise browsing on YouTube. Advertisements played in the expanded data protection mode are also not personalised. In the expanded data protection mode, no cookies are set. 7. Online-based Audio and Video Conferences (Conference tools)

Data processing

Among other things, we use online conference tools for communication with our customers. The tools we use in detail are listed below. If you communicate with us by video or audio conference via the internet, your personal data will be recorded and processed by us and by the provider of the respective conference tool.

The conference tools record all data that you provide or use in order to use the tools (e-mail address and/or your telephone number). Furthermore, the conference tools process the duration of the conference, the beginning and end (time) of participation in the conference, the number of participants and other “contextual information“ in connection with the communication process (metadata).

Furthermore, the provider of the tool processes all technical data required to handle the online communication. This includes in particular IP addresses, MAC addresses, device IDs, device type, operating system type and version, client version, camera type, microphone or loudspeaker as well as the type of connection.

If content is exchanged, uploaded or otherwise provided within the tool, this is also stored on the servers of the tool providers. Such content includes in particular cloud recordings, chat and instant messages, voicemails, uploaded photos and videos, files, whiteboards and other information shared during the use of the service.

Please note that we do not have full influence over the data processing operations of the tools used. Our options depend largely on the corporate policy of the respective provider. Purpose and legal bases

The conference tools are used to communicate with prospective or existing contractual partners or to offer certain services to our customers (Art. 6(1)(b) GDPR). Furthermore, the use of the tools serves to generally simplify and accelerate communication with us or our company (legitimate interest in the meaning of Art. 6(1)(f) GDPR). Insofar as consent has been requested, the tools in question will be used on the basis of this consent; the consent may be revoked at any time with effect from that date.

Duration of storage

Data collected directly by us via the video and conference tools will be deleted from our systems immediately after you request us to delete it, revoke your consent to storage, or the reason for storing the data no longer applies. Stored cookies remain on your end device until you delete them. Mandatory legal retention periods remain unaffected.

8. Custom Services

Handling applicant data

We offer you the opportunity to apply to us (e.g. by e-mail, by post or via an online application form). In the following, we inform you about the scope, purpose and use of the personal data collected from you in the course of the application process. We assure you that the collection, processing and use of your data will be carried out in accordance with applicable data protection law and all other statutory provisions and that your data will be treated in strict confidence.

Scope and purpose of the collection of data

If you submit a job application to us, we will process any affiliated personal data (e.g., contact and communications data, application documents, notes taken during job interviews, etc.), if they are required to make a decision concerning the establishment or an employment relationship. The legal grounds for the aforementioned are § 26 BDSG according to German Law (Negotiation of an Employment Relationship), Art. 6(1)(b) GDPR (General Contract Negotiations) and – provided you have given us your consent – Art. 6(1)(a) GDPR. You may revoke any consent given at any time. Within our company, your personal data will only be shared with individuals who are involved in the processing of your job application.

If your job application should result in your recruitment, the data you have submitted will be archived on the grounds of § 26 BDSG and Art. 6(1)(b) GDPR for the purpose of implementing the employment relationship in our data processing system.

As part of the application procedure, we may also carry out an internet search about your person. This primarily includes Google Search, LinkedIn and Xing. The legal basis for this type of processing is our legitimate interest in obtaining an overall impression of publicly available information about you pursuant to Art. 6(1)(f) GDPR.

Data Archiving Period

If we are unable to make you a job offer, you reject a job offer or withdraw your application, we reserve the right to retain the data you have transmitted on the basis of our legitimate interests (Art. 6(1)(f) GDPR) for up to 6 months from the end of the application procedure (rejection or withdrawal of the application).

The data is then deleted and the physical application documents are destroyed. The retention serves in particular as evidence in the event of a legal dispute. If it is apparent that the data will be required after expiry of the 6-month period (e.g. due to an imminent or pending legal dispute), deletion will only take place when the purpose for further retention no longer applies.

Longer storage may also take place if you have given your agreement (Article 6(1)(a) GDPR) or if statutory data retention requirements preclude the deletion.

Admission to the applicant pool

If we do not make you a job offer, you may be able to join our applicant pool. In case of admission, all documents and information from the application will be transferred to the applicant pool in order to contact you in case of suitable vacancies.

Admission to the applicant pool is based exclusively on your express agreement (Art. 6(1)(a) GDPR). The submission agreement is voluntary and has no relation to the ongoing application procedure. The affected person can revoke his agreement at any time. In this case, the data from the applicant pool will be irrevocably deleted, provided there are no legal reasons for storage.

The data from the applicant pool will be irrevocably deleted no later than two years after consent has been granted.
